The AI receptionist for social work practices

You’re with clients or out on visits when the phone rings. Salutant answers your practice phone day and night, takes referrals, handles cancellations by your policy and gives a distressed caller the crisis numbers straight away.

The calls you miss in session.

Referrals

A new client with a GP referral, Mental Health Treatment Plan or NDIS plan is told what your practice needs, in the words you write. It takes their details and funding as they state it, then offers only times that are free in your diary.

NeverNever books a new client onto a closed list. When you’ve paused new clients, it takes a message.

Rebooking by your cancellation policy

A client who cancels or wants to move hears your cancellation policy in your wording. The request comes to you with the appointment, for one-tap action.

NeverNever charges, waives or calculates a fee.

Distressed callers

If a caller is in crisis, it tells them to call triple zero (000) if they are in immediate danger and gives Lifeline on 13 11 14, the Suicide Call Back Service and 13YARN. On a mental-health line it stays on the line, offers to pass an urgent message to the practice, and you get an urgent email, and a text if you add your mobile.

NeverNever counsels, assesses or triages. It gives the numbers and takes the message.

One summary per call.

After every call you get one email: who rang, what they asked for, what the receptionist did and anything that needs your tap.

Your rules, kept on every call.

  • Never says “booked” until it’s in your diary.

If the write to your diary fails, the caller is not told they are booked, and the call is flagged for you.

  • You approve bookings first.

Review mode is on by default. Nothing touches your diary without your tap.

  • Never books inside your notice window.

A caller who wanted sooner becomes a message for you.

  • No clinical advice or triage.

A caller describing an emergency is told to call triple zero (000).

  • Never keeps call audio.

It keeps a written record and does not record the call, except a voicemail a caller chooses to leave.

  • Never pretends to be a person.

It says it is a receptionist, and says it is an AI whenever asked.

Questions from social work practices.

Does Salutant give clinical advice?

No. It is a receptionist. It answers questions from the information you give it, books by your rules and takes messages. It never gives clinical advice, assesses or triages.

What happens when a caller is in crisis?

It tells the caller to call triple zero (000) if they are in immediate danger and gives Lifeline on 13 11 14, the Suicide Call Back Service and 13YARN. On a mental-health line it stays on the line and offers to pass an urgent message to the practice. You get an urgent email, and a text if you add your mobile.

Will it book straight into my diary?

Only if you choose. Review mode is on by default, so a booking is a request until you approve it. Switch review mode off and a booking lands in your diary the moment the call ends. The caller only hears “booked” once it has their name and number and has checked the time is still free.

How does it handle referrals and funding?

You write what your practice needs from a referred client, and it tells callers that. It records the funding a caller mentions, such as a Mental Health Treatment Plan or an NDIS plan, as they state it, and never decides whether they are eligible.

Does it record our calls?

No. It keeps a written record of each call and does not record the audio, except a voicemail a caller chooses to leave.

Which practice software does it work with?

It books into Halaxy, Cliniko and Nookal, offering only times that are free in your diary.

Do hang-ups and short calls cost me?

No. Some callers change their mind about speaking with an AI receptionist, and some calls are spam. In good faith, if a call ends within the first 20 seconds, we don’t charge for it: it uses none of your minutes or balance. Every other call counts each started minute.
