Before you buy
Trial, prices, what callers hear and how privacy works.
Is there a free trial?
You can try your own setup free, with no card: build your receptionist, then make test calls from your browser, up to 30 minutes a day. Test calls never book anything in your real diary. You pay only when you're ready for your own number.
What does it cost?
Solo $49, Team $129 or Clinic $249 a month, plus GST. Each includes an Australian local number. Call minutes: 180, 360 or 720. Booking seats: 1, up to 5, or up to 10. Fax pages: 20, 50 or 100. Founding practices get 20% off for their first 12 months.
Anything beyond your plan comes from a prepaid balance: extra minutes 40c, calls you make 20c a minute, extra fax pages 10c. Calls count per started minute.
Some callers change their mind about speaking with an AI receptionist, and some calls are spam. In good faith, if a call ends within the first 20 seconds, we don't charge for it. It doesn't use your minutes or your balance.
What is a seat?
A clinician the receptionist books appointments for. Clinicians it only answers questions and takes messages for are free, however many you have.
Do I keep my practice number?
Yes. You get a new Salutant number, and your phone company forwards calls from your usual number to it. Clients keep calling the number they know. You can forward all calls, or only when you're busy or don't answer.
Does it work with my practice software?
Cliniko, Halaxy and Nookal connect directly. No practice software? It books into Salutant's own calendar, and you can link Google Calendar or Outlook so it sees when you're busy.
How to Connect Your AI Receptionist to Cliniko
Will it book without my approval?
Not unless you choose that. By default every booking waits for you to approve it. You can switch to “Put it straight in the diary” for the whole practice, or for each clinician on a team line.
What do callers hear?
Every call starts the same way: “Thank you for calling” and your practice name, then “I'm Matilda, an AI receptionist, and I keep a written record of this call.” Any short message you've added comes next, then the caller is helped. Every call says it's an AI receptionist. If you switch on emergency and crisis support under Settings › Voice, callers also hear “If this is an emergency, please hang up and call triple zero. For crisis support, call Lifeline on 13 11 14.” straight after your practice name. It's off unless you turn it on.
Can I change the greeting and voice?
The opening can't be changed: the practice name and the AI line are said on every call. You choose whether it also tells callers about emergency and crisis support (Settings › Voice, off unless you turn it on). You can add a short message of your own after it, and choose from 4 Australian voices: Matilda, James, Sophie and Liam. Matilda is the default; your receptionist uses the name of the voice you choose.
Is the call recorded?
No call audio is kept, only a written transcript and summary. The one exception is a voicemail a caller chooses to leave.
Where is our data kept?
Everything Salutant stores, and the AI that handles your calls, is in Australia. The live call itself travels through an overseas phone network in real time, and nothing is kept there. Payment, text and email providers keep their own delivery records. Your data is never used to train AI.
Can I cancel any time?
Yes, from Plan & billing. It takes effect at the end of your billing month. Your number then takes voicemails only for 30 days, so callers aren't left with a dead line, and is then released.
Getting set up
Setup steps, your number, forwarding and practice software.
What are the setup steps?
Practice, Diary, Fees, Rules, Voice, then a test call. Then Plan, Number and Forward when you're ready to go live. It saves as you go, so you can stop and pick up later on any device.
What do I need to register for a number?
Australian phone rules mean phone carriers check every business number. Companies, sole traders and partnerships all use the same form and send the same documents:
1. Business name: As it appears on your business registration.
2. Business address in Australia: A street address, not a PO box.
3. ABN (or ACN for a company): The number on your business registration.
4. Website: A business Facebook or Instagram page is fine.
5. The authorised person’s name and email: The person who can act for the business, named as on their photo ID.
6. Business registry record: Upload your ASIC company extract (the long form), or your ABN registration record if you’re a sole trader or partnership. It must show the people on it and the business address.
7. Proof of address: Upload a utility bill, rates or tax notice, or lease showing the business address.
8. Photo ID for the authorised person: Upload a driver licence or passport that hasn’t expired.
9. Signed letter of authorisation: Only needed if the authorised person isn’t named on the business registry record. Someone who is named signs a letter saying they can act for the business.
Files can be JPEG, PNG or PDF, up to 5 MB each. Documents go straight to the phone carrier; Salutant keeps no copies.
Approval usually takes a few business days, sometimes longer. We email you as soon as the carrier replies.
I'm a sole trader or partnership. Can I get a number?
Yes. Sole traders and partnerships use the same Number step and send the same documents as everyone else: your ABN registration record is your business registry record. If it asks for something you don't have, contact us and we'll help.
When am I first charged?
Only at the end of setup, after the carrier approves your details and you choose your plan. Nothing is charged before that.
It says I'm approved but I can't choose a plan.
Salutant is opening to practices a few at a time. You can finish setup and test calls now. We'll email you once when you can choose your plan and number.
How do I forward my mobile?
Dial these from the mobile, with your Salutant number where it says NUMBER. When you don’t answer: **61*NUMBER# (to turn it off: ##61#). When you’re on another call: **67*NUMBER# (to turn it off: ##67#). Every call, while you’re away: **21*NUMBER# (to turn it off: ##21#).
On iPhone, the Settings switch only forwards all calls. Use the codes for the others.
How do I know forwarding works?
Settings › Phone & connections shows “Working” once the first real call to your number has come through. The test call in your browser doesn't count.
Where do I connect or disconnect my practice software?
Settings › Phone & connections, under Practice software. Only the practice owner can connect, test or disconnect it. If you disconnect, nothing in your software is changed or deleted, and Salutant books into its own calendar instead. Bookings already in your software aren't copied into Salutant.
Appointments say “Not linked to a clinician”.
Each clinician needs to be linked to their profile in your practice software. Go to Settings › Team and link each person's practice-software profile.
Cliniko shows no available times.
Salutant only offers times your Cliniko online bookings would show. Check that the clinician and appointment types are turned on for online bookings and that the booking window reaches far enough ahead. There's a full checklist in the Cliniko availability guide.
How it handles calls
Greeting, crisis, transfers, voicemail and bookings.
What happens if someone is in crisis?
Any caller who describes an emergency or crisis during the call is told to call triple zero and given Lifeline, the Suicide Call Back Service and 13YARN, whether or not your greeting mentions emergency support. On mental-health lines it stays on the line and takes an urgent message. You get an urgent email straight away. If you've added your mobile under Rules, you also get a text when a caller may be at risk, with no caller details in it. It gives no clinical advice and isn't an emergency service.
Does it ever say “booked” when it isn't?
It checks first. Before it says “booked”, it has the caller's name and number and checks that exact time is still free in your diary. If saving still fails after the call, the booking is marked “Needs confirming” and your email says “Action needed”.
Does it promise call-back times?
No. It tells callers the practice has their message and will contact them when available. For urgent messages it says it has marked the message urgent and let the practice know.
Can it put calls through to us?
Yes. Add up to 5 people, rung all at once or in order, each with their own hours. The person who answers presses 1 to take the call, and with the warm introduction on they first hear who's calling and why. If nobody answers, the caller can leave a message. Don't use your main practice number, because the call would loop back.
Can callers leave a voicemail?
Yes. Callers can press 0 to leave a voicemail, and after hours they're told they can. Voicemails can be up to 2 minutes and are written out with a short summary.
Does it speak other languages?
Australian English only for now.
Will it take card or Medicare numbers?
It doesn't ask for them. It notes how the caller is paying (for example private, Medicare or NDIS), not card or Medicare numbers.
Does it answer all hours or only after hours?
It answers whatever you forward to it. Your forwarding codes decide when. Your opening hours only change what callers are told.
Your dashboard
To do, approving bookings, emails, team, texts and fax.
How do I approve a booking request?
Open To do and press Review. You can change the clinician, type or time before it goes in. With practice software, book it there and mark the item done.
How many emails will I get?
One summary email per call, sent once the outcome is known. Or choose one email at the end of each day, under Privacy & account › Emails about calls. Emergencies, safety worries, urgent messages and bookings that didn't go through still come straight away. Each person sets their own choice.
Do my clinicians need logins?
No. One account runs the practice, including the Salutant calendar. Clinicians get call emails and a link to update their own profile. Front-desk staff can have their own logins to handle calls, messages and bookings. They never see clinical notes, settings or billing.
Can I text clients?
Coming soon, once Salutant's sender name is approved. You'll be able to send a plain text, or a text with a secure reply link that stays open for 7 days. Texts are for practical practice messages only, never marketing.
Can I send and receive faxes?
Send only, from Calls, to Australian landlines, as a PDF up to 10 MB with an optional cover page (it counts as a page). Your plan's pages are used first, then 10c a page. If the fax is refused outright, you get the pages or money back.
Can I call clients back from Salutant?
Yes, from your browser, showing your practice number. These calls cost 20c a minute from your balance and aren't recorded. 13 and 1300 numbers can't be called; 1800 numbers can.
Plans and billing
Seats, balance, top-ups, invoices, pausing and cancelling.
How are call minutes counted?
Calls count per started minute. Some callers change their mind about speaking with an AI receptionist, and some calls are spam. In good faith, if a call ends within the first 20 seconds, we don't charge for it. It doesn't use your minutes or your balance. Your plan's minutes and fax pages reset on your renewal date.
What is the balance?
Prepaid credit for anything beyond your plan. Your card is charged only when you top up, plus GST. Bigger top-ups add a bonus: $50 gives $52.50, $100 gives $110 or $200 gives $240. Automatic top-up is off unless you turn it on. Unused balance is refundable on request.
What happens when minutes and balance run out?
New calls go to voicemail until you top up. A call already in progress always finishes. You're warned at 75% and 90% of your plan's minutes, and again when they're used up.
Can I change plans?
Upgrades start straight away; you pay the difference for the rest of the month. Downgrades start at the end of your billing period.
What happens if a payment fails?
Calls go to voicemail for up to 14 days and you keep your number. You get one email, and a reminder when 7 days are left. Pay within that time and the receptionist comes straight back. After 14 days the plan is cancelled and the number released.
Can I pause instead of cancelling?
Yes, once a year, for 30 days free. The pause starts at the end of your billing period. Calls go to voicemail and you keep your number. To carry on, choose your plan again. You can always choose “Cancel anyway”.
Where are my tax invoices?
Plan & billing lists your tax invoices from the last 24 months, including top-ups and any refund adjustment notes. Each one is also emailed to you when you pay.
Privacy and safety
Where data lives, how long it's kept, export and deletion.
How long are records kept?
Transcripts, messages and voicemails are kept for 1 week, 1 month (the default) or 1 year. The owner or a manager chooses under Settings › Privacy & account. The short summary and who called stay while your account is open. Billing records are kept 7 years.
Can I get a copy of our data, or close the account?
The owner can download a copy under Settings › Privacy & account. To close the account, email [email protected]. Your data is then deleted as the Privacy Policy describes, and you can ask for a copy before then.
Who controls caller information?
Your practice does. Salutant handles it on your behalf.
Fixing a problem
Plain fixes for problems practices have actually hit. Answers marked Fixed are problems we've already solved.
Forwarding is on, but calls still go to my voicemail.Fixed
On ALDI Mobile, forwarding needs Pay As You Go credit. On iPhone, use the dial codes for busy or no-answer forwarding. Also check that your transfer number isn't the mobile you're forwarding from.
Calls are going to voicemail unexpectedly.
That happens when your minutes and balance are used up, a payment has failed, or the plan is paused. Today shows which one, with a button to fix it.
The dashboard was very slow.Fixed
This happened when a practice software trial or key had expired. Salutant no longer waits on it. You'll see a “reconnect” notice instead, and calls take messages until it's reconnected.
“We couldn't find your practice's Salutant plan”.Fixed
This affected owners whose login started on another product. One login now carries a separate Salutant plan. If you still see it, contact us.
Signing out of one site signed me out of another.Fixed
Signing out now only signs you out of salutant.com. To sign out of every device, use “Sign out everywhere” under Privacy & account.
A fax failed in early October.Fixed
A sending problem stopped all faxes until 8 October. It's fixed, so please send again from Calls.
The summary named a staff member as the caller.Fixed
Staff and clinician names are never used as the caller's name now. If the caller didn't give a name, the summary says so.
I filled in Practice Knowledge but the receptionist didn't use it.Fixed
Solo lines were reading the wrong copy. They now use what you save.
Reminder emails stopped arriving.
After 3 bounces in a row to an address, setup and task reminder emails to it pause. One successful delivery turns them back on. Check the address under Settings › Team. Other emails, including sign-in, password and billing emails, still send.
