How to Send Faxes from Salutant — No Fax Machine Needed

Updated 6 October 2026

Summary

Fax is included on every Salutant plan. Send a PDF to any Australian landline fax number directly from Salutant — no fax machine or separate fax account needed. Each plan includes fax pages every month (Solo 20, Team 50, Clinic 100); after that, each page is 10c from your balance. You can add a cover page with your practice's details.

---

Faxing might feel like a relic of the 1990s, but it remains a daily reality in Australian healthcare. Pathology labs, hospital departments, specialist clinics, and aged care facilities still rely on fax for receiving referrals, reports, and clinical correspondence. If you have ever had to track down a fax machine, wait in a queue, or drive to an office just to send a two-page referral letter, you know the frustration.

Salutant lets you send faxes from your practice number, in the same place you make calls and send texts. No hardware, no separate subscription, no standing at a machine watching pages feed through.

What You Can Fax

You can fax any PDF up to 10 MB:

  • Clinical documents — GP letters, referral letters, progress reports, discharge summaries, and other correspondence, saved as a PDF
  • Any PDF — choose and fax any PDF document you need to send

How It Works

Faxes are sent from Calls, texts & fax in your Salutant dashboard (it's called Calls & fax if you don't send texts). Enter the fax number in the keypad, then choose Fax.

Sending a Fax

  1. Open Calls, texts & fax
  2. Enter the recipient's fax number in Australian landline format — e.g. 02 9123 4567
  3. Choose Fax
  4. Click Choose PDF and pick the document
  5. Add the recipient's name, and choose who it's From: the practice, or a clinician on your Team list
  6. Leave Add a cover page with your practice's details ticked, or untick it
  7. Click Send fax

Salutant confirms the send with its pages and cost, and your history shows Fax sending, then Fax delivered or Fax not delivered.

Fax Pages

Fax usage is measured in pages. If you add a cover page, it counts as a page.

Each plan includes fax pages every month:

Salutant PlanFax pages included a month
Solo20 pages
Team50 pages
Clinic100 pages

Once your included pages are used, each page is 10c from your prepaid balance, which you top up from Plan & billing. The fax form shows how many of this month's pages are left.

Which Plans Can Fax

Fax is included on every Salutant plan: see Salutant pricing.

Tracking Your Faxes

Your faxes are listed with your calls in Calls, texts & fax, newest first. Each entry shows:

  • Recipient number
  • Number of pages and the cost (or "included")
  • Status (sending, delivered, or not delivered)
  • Date and time sent

Each fax is also saved to its conversation.

Retrying Failed Faxes

If a fax isn't delivered (busy line, no answer, number error), send it again from the keypad. If the fax can't be sent at all, nothing is charged; a fax that is sent again counts its pages again.

Supported Numbers

You can send faxes to Australian landline numbers with area codes:

  • 02 — NSW and ACT
  • 03 — Victoria and Tasmania
  • 07 — Queensland
  • 08 — Western Australia, South Australia, and Northern Territory

Not supported:

  • Mobile numbers (04xx) — these cannot receive faxes
  • Premium and shared-cost numbers (1300, 1800, 13)
  • International numbers

Cover Pages

When you leave the cover page on, Salutant adds a first page with your practice's details.

This is useful when faxing to hospitals or large clinics where incoming faxes are sorted by recipient.

Common Use Cases

Referral Letters to Specialists

Fax a referral letter straight to the specialist's rooms. Many specialist practices still prefer fax for referrals because it integrates with their existing intake workflows.

Reports to GPs

After an assessment or treatment review, fax a progress report or discharge summary to the referring GP. This is especially common for allied health practitioners reporting back under Better Access or NDIS plans.

Pathology and Hospital Communication

When you need to send clinical information to a hospital department or pathology lab that only accepts fax, you can do it without leaving your desk.

Privacy and Security

All faxes are sent via a secure Australian fax service.

Faxed documents are subject to the same privacy protections as any other clinical correspondence. Ensure you have appropriate consent before sending client health information via fax, consistent with your obligations under the Australian Privacy Principles.
